Document Scanning Services
Description
Heirloom's document scanning services make it easy to preserve important paper records as searchable digital files. We professionally scan single documents, oversized documents, and bulk paper collections, delivering 300 dpi searchable PDF files with OCR (Optical Character Recognition) for easy searching, storage, and sharing.
Whether you're sending family records, business documents, legal files, photographs, videotapes, film reels, or other media, simply send everything together. Heirloom specialists carefully inspect every item, identify exactly what you've sent, verify it can be digitized, and prepare a detailed, itemized quote.
There is no counting, no sorting, and no obligation. During our free inspection, Heirloom specialists determine whether your documents qualify as Single Documents, Oversize Documents, Simple Bulk Scanning, or Complex Bulk Scanning, then email you a detailed, no-obligation quote. We begin scanning only after you've approved the quote and submitted payment.
Why Use Document Scanning Services?
Paper records are vulnerable to loss, fading, water damage, fire, and everyday wear. Professional document scanning preserves your important records as searchable digital files that are easy to organize, back up, retrieve, and securely share.
Why Choose Heirloom?
Most document scanning companies expect you to determine how your project should be categorized before placing an order.
Heirloom doesn't.
Simply send your documents, and Heirloom specialists will:
- Identify every type of media you send
- Inspect every document group
- Determine the appropriate scanning service
- Prepare a detailed, itemized quote
- Answer any questions before work begins
Only after you've reviewed and approved your quote do we begin scanning your documents.
Single, Oversize, Simple, and Complex Scanning
Heirloom offers four document scanning services:
Single Documents – Individual pages up to 11 × 17 inches
Oversize Documents – Individual documents larger than 11 × 17 inches
Simple Bulk Scanning – Loose pages of the same size (up to 11 × 17 inches).
Complex Bulk Scanning – Bound documents, stapled papers, clipped pages, mixed paper sizes, fragile documents, or other collections requiring additional preparation.
You don't have to determine which service you need. Heirloom specialists make that determination during your free inspection.
What Will I Receive?
Every completed document scanning project includes:
- Optical Character Recognition (OCR)
- Downloadable 300 dpi PDF files
- Secure Heirloom cloud delivery
- Optional Heirloom Flash Drive
- Original documents safely returned
Document groups remain organized exactly as you sent them.
What types of documents can Heirloom digitize?
Heirloom digitizes all types of paper documents, including letters, forms, receipts, legal papers, notebooks, and mixed paperwork. Both front and back sides are scanned whenever content is present.
What format will my documents be delivered in?
Documents are delivered as 300 DPI searchable PDF files. Text is OCR-processed so your files can be searched, copied, and organized digitally, making them far more useful than basic image scans.
How does Heirloom handle grouped papers like folders or envelopes?
Any obvious groupings—such as banded stacks, folders, or envelopes—are preserved and scanned into a single PDF file. That same file name is physically labeled on the original grouping so digital and physical records stay aligned.
What counts as simple vs. complex document scanning?
Documents 9” × 14” or smaller, without staples, paperclips, or mixed sizes, are considered simple and scanned by the pound. Anything with fasteners, mixed sizes, delicate paper, or special handling is scanned as complex.
What is considered an oversize document?
Any paper larger than 9” × 14” is considered oversize. Oversize documents require specialized handling and are scanned individually to ensure clarity and accuracy.
Will my documents be kept in the same order?
Yes. Heirloom preserves the original order and groupings exactly as received. Nothing is rearranged unless you specifically request it.
Why digitize documents instead of keeping paper?
Paper fades, tears, and is vulnerable to fire, water, and loss. Digitized documents are searchable, easy to back up, simple to share, and accessible from anywhere—without risking the originals.
